The University of Science and Technology of Southern Philippines (USTP) in Cagayan de Oro is looking for:
1 – Secretary III
Office of the Vice Chancellor for Student Affairs – CDO
- Receive and follow-up concerns/documents relative to all concerned officer:
- Keeps student’s information, especially the disciplinary cases, confidential at all times;
- Consolidate reports and accomplishments;
- Evaluate the requirements of the accreditation of student organizations;
- Ensure that the travel documents and liquidation of the Vice Chancellor are complete and in order;
- Keep the files of all the memoranda released by OVCSAS as well as the memoranda, Special’s Orders (SO’s) and other correspondences from offices in and outside the University;
- File, upkeep and label for ISO, AACCUP and others the documents both printed and electronic for easy reference working hand-in-hand with the office clerk;
- Supervise up keeping the whole office and monitor deliverables of the Office Clerk and Student Assistant (SA)
- Update the OVCSAS, Vice Chancellors of his/her meetings and other concern that need to be addressed by his or her office and transcribe and prepare minutes if the meetings;
- Communicated to the concerned personnel pertinent information directed by the OVCSAS;
- Maintain professional relationship in the University and to key stakeholders including government, international entities, other academic institutions, industry partners, and other external collaborators in responding to communications, visiting their officer as directed and accommodating them in the office of the Vice Chancellor for Student Affairs and Services;
- Assist in monitoring timely expected deliverables of all offices present in the USTP CDO premises
- Perform other related tasks and responsibilities as assigned by the Vice Chancellor of Student Affairs and Services
2 – Librarian Aide
Library & Audio-Visual Services – CDO
- Maintains and develops Library Web Page and Social Media Accounts.
- Accepts reservations for the use of E.Library computer units.
- Operates, repairs and maintains the computer units into good operating condition
- Determines necessary spare bulbs for the equipment. Handles the physical upkeep of materials and equipment.
- Maintains cleanliness in the area.
- Assists the faculty and students in the use of online resources and databases
- Assists in the physical inventory of hardware and software in the section
- Gathers and maintains statistical data on the utilization of the E-Library equipment.
- Attends trainings, seminars or any related library lIT IAVR activities hosted by Local, National or International organization.
- Performs other functions relative to the work.
3 – Clerk I
CITC Dean’s Office
- Assist undergraduate/graduate students during enrollment;
- Assist the needs and queries of the undergraduate, graduate school faculty, students and visitors;
- Prepares summary report of the Performance Evaluation of the Faculty Members (Self, Peer, Chair, Dean and Students)
- Collect the DTRs of full-time faculty members in forty-hour/week residency is met before overload claim
- Collect the DTRs of the part-time faculty members and compute worked hours for their honoraria claim;
- Answer telephone calls and take note of the caller’s messages
- Facilitate withdrawal of office supplies.
- Monitor the supplies and equipment in the Memorandum of Receipts (MR’s)
- Route/Do legwork CT outgoing documents to the other offices;
- Record all incoming documents; and
- Perform other tasks being assigned by the CT Dean
Job Description:
- Take responsibility on the duty of clerical and administrative support in order to optimize workflow procedures in the office. Assist colleagues and executives by supporting them with planning and distributing information. Be the point of reference for all queries, request or issues and will be an integral part of the office’s workforce.
Qualifications:
- Bachelor’s Degree Holder
- Preferably at least one (1) year experience in related field is an advantage
- Integrity and professionalism
- Proficiency in MS office or any equivalent
4 – Utility Worker
Building & Grounds Maintenance Section – CDO
- Clean and maintain floor surfaces, ceilings, and windows.
- Empty trash receptacles and ensure appropriate disposing of trash
- Clean restrooms and replenish supplies.
- Move equipment and furniture around the building.
- Assist stock personnel in handling inventory duties along with providing support in receiving, verifying, and storing office supplies.
- Performing basic landscaping duties including tree trimming, weeding, growing and watering of plants.
- Operate tools and equipment used in general maintenance and repair on grounds, building and facilities.
- Report safety hazards and need for maintenance and repair.
- Perform other tasks in support to the Campus Director and co-workers in all related tasks.
Job Descriptions
- Perform a variety of general cleanliness and maintenance duties related to maintaining, organizing and repairing facilities and grounds as directed by the supervisor.
